Essential documents for buying and selling vehicles

25 Abr, 2025 #Management and admin

In the world of buying and selling vehicles, paperwork is fundamental. Whether you are the buyer or the seller, knowing the documents you need and the steps to follow is key to avoiding legal or administrative problems. In this article we explain everything you need to know to complete a safe, efficient transaction.

Essential paperwork for buying and selling vehicles

Sale contract

This document records the buyer, seller and vehicle details, plus the price, date and sale conditions. It is advisable to use an official template to avoid omissions.

(Watch out — it is essential that it is signed!)

Permiso de circulación and ficha técnica

Both documents must be valid and reflect the vehicle's real situation. The ficha técnica (vehicle registration document) must also show that the car has passed the ITV (Spain's MOT-style inspection).

Proof of payment of road tax (IVTM)

The vehicle must be up to date with this municipal tax (IVTM, Impuesto sobre Vehículos de Tracción Mecánica / road tax). It is the seller's responsibility to provide proof for the current year and previous years.

DGT report

Requesting a reduced report (take advantage — it is FREE!) or a detailed one from the DGT (Dirección General de Tráfico, Spain's traffic authority) lets you see whether the vehicle has liens, seals or disposal restrictions.

Seller's paperwork

The seller's paperwork is essential to complete the sale notification or transferencia (ownership transfer). You will need:

Photo of the DNI (Spanish ID)

Agency mandate (mandato de gestoría) signed by the seller

Steps after buying or selling a vehicle

Payment of Property Transfer Tax (ITP)

The buyer must pay this tax at the Hacienda office of their autonomous community or online. The taxable base is the vehicle's value or, failing that, the theoretical minimum valuation according to Hacienda scales.

Change of keeper at the DGT

It must be done within a maximum of 30 days after the contract is signed. You can do it online or at a Traffic Office (Jefatura de Tráfico).

Sale notification by the seller

The seller must inform the DGT of the vehicle sale to avoid later fines or penalties.

Tips for a safe transaction

Check the vehicle's condition

It is advisable to carry out a prior mechanical inspection or go to a trusted workshop. That gives the buyer reassurance and the seller transparency.

Precautions against possible scams

Do not send money in advance without guarantees, verify the other party's identity and never sign without reading the full contract carefully.
