Duplicate ficha técnica: EXCEPTIONAL CASES

The Dirección General de Tráfico (DGT, Spain's traffic authority) sets different routes to apply for a duplicate ficha técnica (vehicle registration document) depending on the type of document (paper or electronic). In some less common situations, however, the requirements change or you even have to complete the process in person. These are the main exceptional cases:

What counts as an exceptional case?

Vehicle with several keepers (joint ownership)

When the vehicle is registered to more than one keeper, all of them must authorise the application. That means:

  • Providing the express consent of every keeper.
  • Submitting a copy of each person's DNI (Spanish ID).
  • In some cases, a notarial authorisation may be required.

De-registered vehicle (temporary or permanent baja)

Vehicles in a baja (de-registered) status need a different process:

  • If the vehicle is in temporary baja, you must reactivate it first and only then apply for the duplicate.
  • In the case of permanent baja, the duplicate cannot be processed unless there is an administrative error or a solid documentary justification (for example, for collection vehicles).

Vehicle with a historic plate

For vehicles with a historic or classic plate, you must:

  • Apply for the duplicate at an ITV station (Inspección Técnica de Vehículos, Spain's MOT-style inspection) specifically authorised for this type of vehicle.
  • Submit extra technical paperwork that supports its historic classification.

Illegible, tampered-with or incorrect ficha técnica

Where the ficha técnica is damaged, illegible, crossed out or contains errors:

  • The ITV must carry out an extraordinary technical inspection.
  • A new ficha técnica is issued after checking that the paperwork matches the vehicle's characteristics.

What paperwork do you need in these cases?

On top of the DNI and the vehicle documents, you may be asked for:

  • Proof of representation (if you are not the keeper).
  • Certificate of baja or reactivation.
  • Vehicle characteristics report.
  • Authorisations from co-owners, if applicable.
